How 5 Tool Productions Supported a Two-Day Hybrid Board Meeting

When people think about A/V production, they often imagine packed ballrooms and large-scale conferences. But some of the most important conversations happen in much smaller rooms.

Recently, 5 Tool Productions partnered with Woodwell Climate Research Center to host their board meeting over two days. The format was hybrid, with roughly 25 participants in the room and others joining remotely. The setting was intimate. The decisions being made were not. That meant the technology needed to be reliable, professional, and unobtrusive.

Because the meeting was held in a compact space, maintaining a small footprint was critical. We needed to support high-level discussion without overwhelming the room with equipment. To accomplish that, we deployed PTZ (pan-tilt-zoom) cameras throughout the room. These remotely operated cameras allowed us to capture clean, professional shots of each speaker while eliminating the need for camera operators and large tripods. From tight head-and-shoulder shots to wider room coverage, we were able to adjust angles seamlessly without disrupting the flow of conversation.

In a hybrid setting, audio clarity isn’t optional—it’s essential.

For this meeting, we implemented conference-style microphones similar to what you might see at a United Nations session. Each participant had an individual microphone unit with a push-to-talk feature and built-in speaker. This setup created structure within the discussion, reduced cross-talk, and ensured that remote attendees could hear every comment clearly. It also helped maintain a natural rhythm in the room, without the distraction of passing microphones or overlapping dialogue.

Behind the scenes, we built a streamlined hybrid system that connected in-room participants with remote speakers effortlessly. Remote presenters were displayed clearly in the space, while in-person board members were seen and heard with broadcast-quality clarity by virtual attendees. Throughout the two days, transitions between speakers were smooth, audio remained consistent, and the technology quietly supported the meeting rather than becoming a focal point.

We were able to manage the entire the entire technical flow of the event from behind the curtain, or in this case in a closet. Two members of the 5 tool team utilized a storage closet and converted it into a control room.

There was nothing flashy about this production. No dramatic lighting or large stage build. But that’s often the point with executive-level gatherings. The goal is to create an environment where ideas can move freely, conversations can unfold naturally, technology simply works, and most importantly, isn’t noticed.
