Producing the JAF Gala provides an opportunity to bring the full range of 5 Tool Productions’ capabilities together in one cohesive experience.

We help our partners from pre to post-production, from beginning to end:

  • Pre-produced video content, including patient stories and videos showcasing the foundation’s work and highlighting members of their organization
  • Live editing of a red carpet show recorded on site that will be played in the room at the beginning of the Gala
  • Producing the live event with a 4 camera switch, live audio mix and graphics to screens in the room and for post event on-demand content

 

Through the entire process, we are also assisting with AV Translation for our event partners answering any technical questions that may come up when putting on such an involved show to make it as successful as it can be.

Pre-Production Leading up to the Gala

Part of our responsibilities for the event is to produce pre-recorded video content to be played throughout the gala to the in room audience. Some examples of this work are patient stories and the JAF Gamechanger award video.

Patient Stories

These types of videos usually highlight someone who has directly benefited from the work of the foundation. We travel to their location and record an interview with them explaining what sort of assistance they received and why philanthropy is important to this type of work. Our video storytelling helps the foundation amplify their work and their mission in a way that the audience can see first hand. We like to say: show don’t tell. Patient stories don’t have to take the same form, we have produced them as simple interview based stories or have gone as creatively as filming a roundtable discussion with a patient and members of the foundation. 

JAF Gamechangers

The Gamechanger award video highlights individuals who have significantly contributed to the foundations work over the years. The recording process for this video usually consists of interviews with the 5 or so winners, and an interview with Jen and Joe Andruzzi themselves. The challenge in the editing process is to take all of this interview content and trim it down to a sub-5 minute video that honors the award winners and is enjoyable to watch in person at the Gala. This type of content gives us a chance to exercise our creativity and explore unique thematic approaches for a longer form video.

Day of the Gala

When the big day finally arrives, our team is on site early setting up cameras and switchers and meeting with the JAF team to make sure everything is ready to go. Our machines are loaded up with all of the videos we produced prior to the event and before the show we do run thoughts with the hosts to make sure everyone is on the same page. This is also where we will run through the graphics presentation that is provided by the client. 

The biggest part of the pre-event activities is the red carpet show. This is a really cool piece of content that we produce, film, and edit in real time so that we can have a fun video to play in-room as people shuffle in and find their seats. For the 5TP crew it is a challenging but exciting project where everyone works together to record short interviews with guests and then run that recording over to an editor that is editing all of the best clips together live. 

During the Show

When the Gala officially kicks off, the 5 Tool team has manned their battle stations and are ready to roll.

Roles may vary but usually a show like this will require:

  • Technical director to keep everything running smoothly on our side
  • Audio and video board operators to handle microphones on stage and video content played in-room
  • Graphics operator who is in charge of advancing slides and following along with the hosts
  • Video switcher who is managing the recording for on demand content after the event 
  • Camera operators who are capturing all the content on stage and in the crowd.

 

The goal of this operation is to work together to make the video and audio components run seamlessly. This allows the folks running the show on stage to host without any worry and the guests in the crowd can sit back and enjoy the show on stage and experience the videos played on screen.

Preparing for an event like this is never a one-and-done effort. It takes time, thoughtful planning, sharp attention to detail, and flawless execution alongside great partners. That’s exactly why this event has always been one of our favorites — it gives us the chance to flex our creative muscles while helping one of our favorite foundations raise critical funds for an incredible cause.
