Main Stage

This conference is a popular one amongst industry exports which means space is at a premium – especially during the main stage keynote sessions. Our team is there to live stream the stage to the virtual audience. To make our operation as efficient as possible and be mindful of our space, we utilize remote PTZ cameras. This allows us to have multiple angles of the stage with only one operator behind our tech table. The operator can focus, pan, tilt, zoom, and color all of the cameras from one control panel.

In addition to the robotic camera operator, we also have a Technical Director. They are focused on switching between the multiple cameras and each presenter’s power point presentations. The final, switched feed is then live streamed to a video player on a remote event platform. This is how we give the at-home audience a seamless experience and make them feel as if they are a part of the show.

On occasion, these main stage presentations include remote presenters. This means that we are responsible for bringing in these presenters via Zoom. We must ensure that they can hear the rest of their panel members and vice versa. Our ability to do this allows the conference to incorporate a wider breadth of speakers who may not be able to physically attend but can still participate and share their expertise.

Breakout Sessions

Following the morning main stage events, attendees disperse to attend various breakout sessions. Each breakout “room” has anywhere from 5-10 sessions throughout the afternoon. We provide a technical staff member at each breakout stage to live stream to a virtual audience. We set up one camera that feeds into a switcher. This board also receives a feed from the presenter’s computer. Our job is to switch between the speaker and their presentation to bring the remote audience a more polished viewing experience. This allows for a simplified live streaming setup that still has the desired outcome. Rather than our full live streaming buildout like we do for the main stage, we use a simple board and a single camera to effectively live stream to remote attendees.

We also facilitate the flow of these breakout sessions when there is speaker and presentation changeover. To ensure everything runs smoothly, we communicate with the speaker to make sure that they are ready to roll once we begin our live stream.

The way that these breakout sessions function is different from other events that we’ve worked in the past. The ONUG team utilizes “silent disco” technology for their breakouts. This means there does not have to be physical walls to separate the breakout stages. Attendees hear the speaker via special headphones. Each breakout stage is assigned a color (blue, magenta, yellow or green for example) and attendees make sure that their headphones are tuned into the correct color. Each of our team members is assigned to a specific color for the afternoon and live streams each speaker’s presentation on that stage. Sessions range anywhere from 10 minutes to 35 minutes. Each stage has a collection of these sessions to fill the afternoon with content for attendees.

This unique style of breakout sessions is possible because ONUG hosts many of their conferences in unconventional event spaces. These spaces don’t always offer separate rooms for breakouts. From an A/V side of things, the utilization of the headphones means that the presenter’s audio is not projected into the room via speakers. Otherwise, the presenters would have to compete to be louder than one another. This method allows all of the breakout stages to be closer together in a smaller footprint.
